Chilwell School has three purpose built dining rooms which serve a range of healthy snacks, drinks and meals, throughout the day.

Local Ingredients

At Chilwell School we are actively trying to reduce our carbon footprint and are proud to source many of the ingredients for our school meals and snacks, locally.

  • Venison is from Thoresby Park, Sherwood Forest
  • Beef – grazed on the banks of the River Trent by Holme Farm in Rampton
  • Lamb from the Peak District
  • Turkey – farm assured, cage free from Lincs Turkey Ltd in Grainthorpe, Louth
  • Pork – local and rare breed from Hockerwood Farm in Upton
  • Eggs – free range from Fieldson Farm Eggs in Lincolnshire
  • Milk – fresh and local from Newfield Dairy in Hockerton
  • Vegetables – fresh and seasonal, grown locally where possible, from Country Fresh Foods in Sheffield

It is the responsibility of the parent/carer to notify both the school chef and the school office in writing of any dietary requirements along with the EC46 Pupil Dietary and Food Allergy Request Form. This must be supported with the appropriate medical evidence (GP letter).

Free School Meals

Do I qualify?

You may qualify for free school meals if you receive one of the following benefits.

  • Child Tax Credit, provided they are not entitled to Working Tax Credit and have an annual income (as assessed by HM Revenue & Customs) that does not exceed £16,190
  • Income support
  • Income based Jobseeker’s Allowance (JSA)
  • Income related Employment and Support Allowance (ESA)
  • Income based and contributions based JSA and ESA on an equal basis
  • Support under Part VI of the Immigration and Asylum Act 1999
  • Guarantee element of state pension credit
  • Working tax credit run-on – paid for four weeks after the person stops qualifying for working tax credit
  • Universal credit – during the initial roll-out of the benefit

Cashless Payment System

What it is a Cashless System?

At the heart of the cashless system there is a computer controlled by I.M.P.A.C.T. – Software. This allows the system to recognise each individual student, hold individual cash balances, record cash spent and cash received, record where money is spent, on what food, on any specific date and time of day.

How are students recognised by the system?

Each student will have their fingerprint registered which will then be translated to an Alpha Numeric number, the image is then discarded, when used this will then enter them into the system program and identify them by a number.

How is this then used to obtain a school meal?

The student simply places their finger onto a scanner at the point of sale; a display will show the server the student’s name, class and current cash balance held within the system. The selected food items will be entered into the system from an itemised keyboard while the amount spent and the new cash balance will show on the display.

How is money entered into the system?

  • By Internet cash transfer using the details you will be provided with and your 16 digit number.
  • By ‘Cash – Coin and Note’ into an automatic terminal located in both the Large and Small Dining Room, which are set to accept £20 £10 £5 notes £2 – £1 – 50p – 20p – 10p coins.(1p – 2p – 5p coins, cannot be used).

How does the station work?

Firstly the student places their finger onto the scanner mounted on the station which will display the student’s name and current cash balance held within the system. The second stage is to insert coins into the slot. Each incremental cash balance will show on the display. Press the red button to tell the system that the transaction is completed.

How will the student be able to check what the current cash balance is held in the system at any one time?

  • By using the station. Place their finger on the scanner to display the current cash balance. There is no need to deposit any money, just press the red button to finish.
  • Also a remote display at the till will show the new cash balance when the food service is finished.

What if the student does not hold a sufficient cash balance one day to pay for a school dinner?

No student is refused a school dinner because they have not brought their dinner money to school with them. The school will allow for the student to loan money for one day. However, just as before, the student would be expected to bring some money with them the next day to repay the loan and re-credit the system by using the station.

What about students entitled to a ‘free school meal’?

The system works exactly the same for all students whether they pay or have a free school meal. The amount allocated for the free school meal will be entered into the system by the software daily. Students who are entitled to free school meals will have the option of either the ‘meal of the day’ (vegetarian options available) or a jacket potato (choice of fillings) and a bottle of water or a sandwich (choice of fillings), packet of crisps or homemade cookie, a piece of fruit and a bottle of water.

As a school we have a duty of care to ensure our free school meal students are receiving a full rounded meal. The option to buy ‘fast food’ from our grab and go counter, although convenient, is not always the most nutritious balanced diet.

Any under spend or missed dinner will be identified by the system and will not be added to the next day’s balance.

Pupils can also add extra cash on to their balance in the system by using the online facility or the revaluation station, to enable a greater daily spend on the school dinner than allocated by their free meal allowance.

Can I pay in monies online?

Payments for any purchases in the canteen need either to be made into the cash machines in the dining rooms before queuing or monies can be credited by parents through the sQuid website.

Data Handling

Certain data will be held on the system to enable accurate operation. This will include your child’s name, class, photo, account balance and meal entitlement. This data will be handled under the guidelines of the data protection act and only used by parties directly involved with the implementation of the system
